Functional Status

Functional status values are used to provide information about the operational condition of a space or subSpace, for example, In Use, or Under Renovation. The values you define populate the Functional Status drop-down menu on the Categorization pane of the View Space, Edit Space, View SubSpace and Edit SubSpace pages..

To open the Functional Status page:

  1. Open the Administration Menu page.

  2. Under the SPACE ADMIN heading, click Functional Status.

    The Admin – Functional Status page opens. All defined functional status values are displayed, listed in order of Tab Order first, then chronologically by Last Update date.

Creating a functional status allows you to define values that specify the operational condition of a space or subSpace. To create a functional status value:

  1. Click the Add New link.

    The Add Functional Status dialog box opens, allowing you to define the new value.

  2. In the Name field, enter the functional status value name.

  3. In the Description field, enter a description of the functional status value.

    This field can be used to provide more information about the functional status value. This value can be up to 1000 characters long. As you type, the character count updates indicating the number of additional characters that can be entered.

  4. In the Tab Order field, enter a numeric value.

    The Tab Order indicates the position, in menus, where this value will be listed. Lower numbered values are displayed toward the top of the list. Values will the same tab order will be sorted alphabetically.

  5. In the Active field, select Yes to make this functional status value active.

    Inactive values remain in the system, but are not displayed to users.

  6. Click OK.

    The functional status value is added to the list. The name of the user who added the functional status value and the date and time it was added are displayed.

Functional status values can be modified. For example, if you want to change the value that users see, you can modify the name. To edit a functional status value:

  1. Click the Edit link to the right of the functional status value you want to edit.

  2. Modify any of the following values:

    • Name – the value that users see
    • Description – information about the functional status value
    • Tab Order – the position in which the functional status value will be displayed in drop-down menus
    • Active – Yes indicates that the functional status value is active (displayed to the user)
  3. Click OK.

    The modified functional status parameters, including the name of the user who edited them and the date and time when they were edited, are displayed.

Functional status values that have not been used can be deleted from the system.

If a functional status value has been used but is no longer needed, you can edit it and make it inactive to prevent it from being displayed to users.

To delete a functional status value:

  1. Click the Delete link to the right of the functional status value you want to delete.

    A dialog box opens asking you to confirm your choice.

  2. Click OK.
